Senior Administrative Assistant
Location: Manteca, CA
Pay Range: $30-$35/hr
Great benefits and growth potential! We are seeking a highly organized and adaptable Senior Administrative Assistant to support the Director of Manufacturing & Operations. This role requires exceptional communication, follow-through, and multitasking abilities in a fast-paced, high-volume manufacturing environment. The ideal candidate will provide administrative support, coordinate priorities, and assist in communications across departments to ensure seamless operations.
Key Responsibilities:
- Provide direct administrative support to the Director of Manufacturing & Operations, ensuring efficiency in daily tasks and priorities.
- Communicate effectively with two plant managers and, as needed, the safety department to relay information and coordinate activities.
- Manage complex calendars, schedule meetings, and track key deadlines to ensure seamless workflow.
- Utilize spreadsheets to organize and analyze data, assisting in the structuring of operational plans, production schedules, and compliance reports.
- Quickly adapt to shifting priorities and provide real-time updates to the team on project status and urgent tasks.
- Leverage technology tools such as Microsoft Teams, Zoom, and text messaging for efficient team communication.
- Learn and navigate software systems to support the department’s administrative and operational needs.
- Proactively complete tasks with accuracy and speed while maintaining attention to detail.
- Assist in preparing reports, documentation, and compliance-related materials relevant to manufacturing operations.
- Support safety initiatives by coordinating meetings, tracking documentation, and ensuring adherence to regulatory requirements.
Qualifications & Skills:
- 5+ years of administrative experience in a fast-paced office environment, preferably in manufacturing or operations.
- Strong communication and interpersonal skills with the ability to collaborate across departments.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
- Proficiency in Microsoft Office Suite, particularly Excel, as well as familiarity with collaboration tools such as Microsoft Teams and Zoom.
- Ability to quickly learn and adapt to new software and systems used in manufacturing operations.
- Strong problem-solving skills and ability to work under pressure in a fast-moving environment.
- High level of discretion and professionalism when handling sensitive information.
Preferred Qualifications:
- Experience in a manufacturing or operational setting.
- Background in working with safety or compliance-related communications.
- Familiarity with ERP or other business management software.
- Experience supporting production teams, scheduling, or supply chain coordination.
