Location: Stockton, CA
Hours: Mon–Fri, 8am–5pm

Human Resources Duties
- Assist with recruitment, including job postings, resume screening, interview scheduling, and background checks.
- Prepare onboarding documents and coordinate/deliver new hire orientation. Assist with benefits administration.
- Track employee attendance, PTO, timekeeping, and performance review dates.
- Support HR compliance including EEO, I?9 verification, labor postings, and handbook updates.
- Assist with payroll processing, including timecard review and coordination with payroll providers.
- Respond to employee questions regarding HR, benefits, and payroll.
- Coordinate employee recognition and engagement initiatives.
- Handle confidential information with professionalism and discretion.
Accounts Payable
- Review, code, and upload vendor invoices using QuickBooks Online and Bill.com.
- Match purchase orders, receipts, and invoices for accuracy.
- Prepare and process weekly check runs and ACH payments.
- Reconcile vendor statements and resolve discrepancies.
- Maintain organized A/P records and payment documentation.
- Manage the Accounts Payable inbox and respond to vendor inquiries.
- Assist with month end closing and reporting.
Accounts Receivable
- Generate customer invoices and ensure accurate, timely billing.
- Post customer payments and apply cash receipts.
- Monitor A/R aging and follow up on past due accounts.
- Resolve billing discrepancies and customer inquiries.
- Maintain organized A/R records and documentation.
Purchasing
- Assist with purchasing activities, including vendor setup and purchase order creation.
- Coordinate with internal departments to ensure timely procurement.
- Maintain vendor records, pricing agreements, and purchasing documentation.
Administrative / Front Office
- Greet and assist onsite visitors and manage reception activity.
- Answer incoming phone calls, route messages, and handle deliveries.
- Support general office operations as needed.
Qualifications
- High school diploma or equivalent required; AA/BA in Accounting, Business, or HR preferred.
- Bilingual English/Spanish required.
- 2+ years of administrative experience supporting HR, A/P, A/R, purchasing, and payroll.
- Working knowledge of HR practices, employment laws, and basic accounting principles.
- Hands on experience with QuickBooks Online and Bill.com
- Proficient in Microsoft Office (Excel, Word, Outlook, SharePoint).
- Strong organizational, time management, and communication skills.
- High level of accuracy, integrity, confidentiality, and attention to detail.
Work Environment
- Office based position, Monday–Friday, 8:00 AM–5:00 PM.
- Occasional travel to company sites may be required.
- Prolonged periods of sitting; occasional lifting up to 20 lbs.
