Accounts Payable - Administrative Support - Construction
Job Description
Location: Modesto, CA
Job Type: Full-Time, Monday – Friday, 7am-4pm
Reports to: General Manager
$25-$32/hr DOE
Position Overview
We’re looking for an energetic and detail-oriented Accounts Payable & Administrative Project Coordinator to support our growing operations. This position is responsible for processing AP across two entities and providing key administrative support to the General Manager and project teams. The ideal candidate is accurate, organized, and communicative, with a strong sense of ownership and a collaborative spirit. We value a positive attitude and cultural fit as much as experience—we’re looking for someone to grow with us. Construction Experience a plus!
Job Duties:
- Intake, review, and process vendor invoices, field tags, and credit card receipts using company Project Management System.
- Accurately code and post AP transactions to appropriate jobs and cost codes
- Reconcile vendor statements and credit card accounts
- Track job-related costs and assist in ensuring accurate job costing
- Collect and maintain W-9s and other compliance documentation from vendors
- Monitor and follow up on AP-related issues with vendors and internal teams
- Pick up and distribute mail regularly; ensure invoice flow is up-to-date
- Assist in preparing monthly job billings and reviewing aging reports for overdue invoices
- Support with bid/quote procurement for smaller projects and repairs
- Coordinate communication between project managers, vendors, and internal stakeholders
- Help ensure job folders are complete, costs are closed appropriately, and paperwork is organized
- Maintain office supply inventory and place orders upon approval
- Answer incoming calls and direct to appropriate team members
- Support contract compliance, office organization, and general office coordination tasks
Candidate Profile
- Construction Industry exposure is highly preferred.
- Accounting experience (especially AP) is preferred but not required - we can train!
- Excellent communication and interpersonal skills—confident, friendly, and proactive
- Strong organizational skills with a high level of attention to detail and accuracy
- Ability to track cost codes, job numbers, and help maintain cost integrity
- Comfortable working in a small, family-oriented office where employees support one another
- Tech-savvy and adaptable to new systems and tools
