Accounts Payable Specialist

Responsibilities:
  • Print relevant account emails.
  • Opening mail.
  • Attach necessary documentation to invoices for proper record-keeping.
  • Process invoices for payments, emphasizing accuracy and efficiency.
  • Address concerns regarding payments and past-due invoices with vendors and internal staff.
  • Print and process checks, manage ACH payments, and reconcile accounts.
  • Handle the deposit of incoming checks and organize supporting documentation.
  • Scan and file POS/packing slips received by the Part Room & Warehouse.
  • Perform daily balancing tasks, coordinating with team members as needed.
  • Manage and generate banking reports as required.
  • Complete monthly tasks, including printing brokerage statements, entering data, and preparing statements for approval.
  • Process monthly brokerage checks, ACH payments, and mail statements.
  • Manage credit card statements, including GL coding based on statements.
  • Prepare ACH monthly leases and input utility data into the system.
  • Reconcile statements from vendors and address discrepancies
  • Handle specific tasks for certain vendors, such as printing reports and managing vendor-related activities.
Candidate Qualifications:
  • Detail-oriented, organized, and deadline-driven.
  • Ability to balance accuracy and efficiency in a dynamic environment.
  • Experience in accounts payable processes and proficient in data entry.
  • Strong verbal and written communication skills.
  • Excellent organizational skills.
  • Proficient in MS Suite applications, primarily in Excel.
  • Willingness to adapt and take on additional responsibilities as assigned.
  • Preferred experience in bookkeeping or equivalent.
  • Preferred familiarity with accounting systems and software, including Access.
